Providing custom ICS calendar entries for individual event days
In this article, you will learn how to create an individual calendar file (.ics) for each event day and send it specifically to the participants who are attenting that day.

If your event spans multiple days but attendees might only participate on specific days, you face a common challenge: the standard calendar entry placeholder always uses the entire event timeframe from the basic settings. To provide your attendees with individual calendar entries instead, follow these steps.
Create ICS files for individual days
An ICS file is the standard format for calendar entries (supported by Outlook, Apple Calendar, Google Calendar, etc.). You can easily create one yourself:
- Open your own calendar (e.g., Outlook or Apple Calendar).
- Create a new calendar entry for the first event day. Enter all important information (title, date, exact time, location/link, and optionally a short description).
- Save the entry in your calendar.
- Export the event as an ICS file:

- In Outlook: Double-click the event, go to File -> Save As, and select the "iCalendar Format (.ics)" format.
- In Apple Calendar / Mac: Drag and drop the event directly from your calendar onto your desktop. It will automatically save as a .ics file.

Upload ICS files to the File Manager
To link the calendar entries later, they must first be uploaded to evenito.
Go to your File Manager in your space settings and upload the ICS files you just created. Once the file has been uploaded, you’ll have two options for linking to it in your messages later.

Copy and paste the URL: Click the three-dot menu to the right of the file and select "Copy URL". You can then easily insert this URL as a link behind a button or text in your message.

Select the file directly in the email editor: When you create your email later, you can access the file manager directly to insert the file and select the uploaded ICS file.
Set up groups and form selections
By using groups, you can control which message is sent to specific attendees during dispatch.
Create a dedicated group for each event day (e.g., Group "Day 1", Group "Day 2").
Add a additional question using the single-choice answer type to your registration form (e.g., "Which day will you attend?").
Configure the "Add groups" action for the answer options so contacts are automatically assigned to the corresponding group ("Day 1" or "Day 2") upon selection.

Create dedicated registration confirmations per group
Instead of sending one general email to everyone, create a separate registration confirmation for each group (or event day).
Create the registration confirmation for the first day and assign it to the group "Day 1" in the message settings so only those participants receive it.

Link the corresponding calendar entry for "Day 1" in this email. For example, insert a button ("Add to calendar").
Now, under "Link type" on the left side of the "Content" settings for this button, paste the copied URL of the uploaded ICS file for Day 1, or click "Link file" and select the file from your file manager (see above).

Repeat this step for the registration confirmations for the remaining days using their respective ICS files.
Your attendees will now receive a registration confirmation tailored exactly to their selection. When they click the button, only the specific calendar entry for the selected day will download. Upon opening the downloaded file, they can add the event directly to their calendar.
