In this article, we explain how to access the file manager, how it can be used in a structured way to store files, images, and documents, and how folder access rights for teams are controlled.

Access to the file manager
You have several ways to access the file manager.
Click the arrow next to the space name in the top navigation and open the Space Settings to directly access the file manager.
Alternatively, you can click on any paperclip icon within your event, e.g., on the profile picture when creating a speaker, to open the file manager.
The file manager will now open. Here you will find an overview of your already created folders and files from all your events.
Determine sort order
By default, both your folders and the individual files directly below them are sorted in ascending alphabetical order. This is initially indicated by the iconin the top right of your file manager. If you click on the icon, you can choose between the following sorting options:
- Name (A-Z): Folders and files are sorted alphabetically ascending (Default mode)
- Name (Z-A): Folders and files are sorted alphabetically descending
- Date (oldest first): Folders and files are sorted by creation date, ascending
- Date (newest first): Folders and files are sorted by creation date, descending
Please note:
Folders are always displayed at the top in the selected sort order. The individual files follow below.

The sort order always returns to the default mode as soon as you exit the file manager and reopen it the next time.
Change display view
If you want to change the default list display of your file manager, click on this iconnext to the plus button at the top right.
You can choose between the following display options:
- List: Display in list form (Default mode) with small thumbnails
- Thumbnails (large): Display in tile format with large thumbnails
- Thumbnails (medium): Display in tile format with medium-sized thumbnails
- Thumbnails (small): Display in tile format with small thumbnails
Please note:
Folders do not have a thumbnail.

Uploading and editing files
To add new images or files, click on the plus button at the top right and select "Upload file". Choose the corresponding files in the window that opens and confirm your selection with "Open." The files will now be uploaded and displayed alphabetically in your file manager.
To edit an already uploaded file, click on the three dots next to the desired file. Here you have the following editing options:
- Copy URL: You copy the entire path of the file. You can use this in all places in your events where you can store files or images (for example, in the header module on the website or as a speaker's profile picture).
- Download: The file opens in a separate browser window and can now be downloaded, renamed, and saved by you.
- Rename file: You can also rename your already uploaded file later. Confirm your entry using the checkmark on the right side.
- Delete file: The entire file will be deleted from your file manager - and thus also the link in all your events.
Attention!
Your deleted files and images will remain in your events until you make changes at the relevant point, e.g. in a speaker's data record. For example, if you want to adjust the description text of a speaker whose profile picture has been deleted from the file manager, the following error message is displayed:
Upload a new file here and save it instead to save the changes.
Creating folders
Please note:
Users with the roles "Supporter" or "Event Manager" cannot create folders at first level. By default, only users with the global role "Administrator" can do this. If you would like to enable the creation of first-level folders for all users with the roles "Supporter" or "Event Manager", please contact our CS-team.
For a better overview in your File Manager, we recommend structuring your files and images meaningfully in folders. If you want to create a new folder, click on the Plus button at the top right and select "Create folder"
Please note:
By default, when creating a folder, all teams from your space are initially assigned. You can then assign the desired teams and make adjustments.
An empty input field will now appear in the top row of your overview, where you can define the name for your folder. Save your changes by clicking the checkmark on the right.
You can now either drag & drop your existing files and images from the overview into your newly created folder, or you can upload the desired files and images directly into your folder.
To do this, open the folder by clicking on it and then, using the plus button at the top right, select either "Upload file" to upload one or more individual files, or "Create folder" to create another folder, which will then be displayed as a subfolder in your first created folder. To move a top-level folder into another folder, simply drag & drop it into the desired folder.
Editing Folders
To edit an already created folder, click on the three dots next to the desired folder. Here you have the following editing options:
- Assign Teams: In the "Folder team" window, you can now select all teams via the checkbox to whom you want to grant access to this folder. The teams will also be displayed as tags directly under the folders in the file manager overview. Only the teams you select will subsequently have access to the files in this folder. You can add as many teams as you like and also remove the team assignment by clicking "Assign Teams" again and deselecting the corresponding checkbox.
- Rename file: You can now rename your folder as desired and confirm your changes using the checkmark on the right.
- Delete file: If you want to delete a folder, all files must first be removed from this folder. Either they are deleted individually or dragged & drop via the arrow
back to the first level of the file manager.
Supported file formats and sizes
The maximum file size that can be uploaded to the File Manager is 20 MB.
The supported file formats are listed below:
