Event Dashboard

With the help of the event dashboard, you always have an overview of your event.

The event dashboard shows individual tasks, your planned communication and the schedule items for the event. There are also contact statistics that show the contact activities within your event.

In order to be able to track the activities of your contacts, the participants must first be added into the tool. This can be done either by importing a list of participants, by adding them manually, or the contacts sign up on their own using a group token or via your publicly accessible website.  

You can also assign your contacts to groups. For more information on groups, see this article.

The first chart "All contacts" shows the total number of contacts in the tool on the left. To the right, this number is then subdivided according to the following status:

  • Registered: Indicates how many contacts will participate in the event.
  • Declined: Indicates how many contacts will not be attending the event.
  • Pending: This status refers to those contacts who have neither registered nor deregistered for the event so far.

The second chart "Registered" shows how many contacts per group have registered. In total, up to 20 groups are listed in the overview. The number on the left shows the total number of registered contacts. On the right-hand side, the number per group is subdivided.

Please note: 

A contact can belong to several groups, which is why the number on the left may be smaller than the number in the individual list on the right. For example, if a guest is assigned to a group during import and is then assigned to another group when they log in, they will be part of both groups and will be listed as 1 contact in both groups in the graphic.

The third chart "Checked-in" shows all checked-in participants. This includes physical, hybrid and virtual check-ins. Attention: In this overview, only virtual check-ins on the active virtual platform evenito connect are counted. Log-ins to the deactivated virtual platform (curtain page) are visible in the contact export, but are not counted as a check-in in the evenito back office.

Timeline

Please note:

When you first open the Event dashboard, your overview does not yet contain any entries. Change this by creating a new task, setting up a message or define your schedule items.

The messages you have set up and their respective group assignment are displayed on the right-hand side. In addition, the individual schedule items are listed with their respective start time and the defined groups and highlighted on the timeline to make them easier to recognise. Your defined tasks are listed on the left-hand side and allow you to jump directly to the corresponding area or menu item.

The timeline extends from the time of the first task to the last activity after your event (e.g. the follow-up mailing) and is divided into months.

The defined event date of the associated correspondence, tasks and schedule items is visualised as a number in the middle. If you have not defined any content in a month, the month is still displayed by name in the timeline.

For a better overview, you can also use the arrow on the right to flexibly show and hide the individual monthly sections.

Create and manage tasks

Click on the plus sign in the top right-hand corner to create a new task. Then determine the name of your task and then set the date it is due. Use the dropdown on the right to determine which area your task falls into (e.g. messages). There is no limit to the number of tasks. Once you have completed a task, you can mark it as completed using the checkbox.

You can also use the drop-down menu to the left of the plus sign to filter which tasks should be displayed in the overview:

  • Incompleted tasks
  • Completed tasks
  • Show all tasks

Convert, edit or delete tasks

If you want to tackle a task you have defined, click on the relevant icon on the right and you will be taken directly to the menu item assigned to it. To make adjustments to a task or delete it, you have the following icons on the right-hand side: Create and manage tasks3

Use the editing pencil Aufgaben erstellen und verwalten4 to open the screen for creating a task. Confirm your adjustments with "Save & close". You can use the trash can icon Aufgaben erstellen und verwalten5 to remove a task.
