Plan your time frames and define your registration deadline

If you want your registration form to open/close at a specific time, then define your registration period within the general event period.

Define general event timeline

To define your time periods, open the "Timeframes" tab in the "Event settings" menu item.

Now define the period that you would like to have displayed in your timeframe overview in the "Starts" and "Ends" fields at the top right. Here you can, for example, use the period of the save-the-dates or invitation dispatch as the start, or the period in which you started working on your event. The date for the end of your timeline could be your "Thank you for coming" message, for example, or the date of your last event day.

The timeframe you have selected will now be displayed in your time period, divided into months and days.

Your event period defined in the "Basics" is now displayed within this period in the form of a grey bar. If you move the cursor over this bar, the date and time will also be displayed in detail.

If you want to adjust your event period again, you can hover over the word "Event" on the left-hand side of your overview and use this button Bildschirmfoto 2025-06-03 um 08.42.24 to jump directly to your "Basics".

Store availability of the published registration form

To set an opening and closing date for the registration form you wish to publish on the event website, click on the plus button at the top right and select the option "RSVP form on event website" in the dropdown.

Now enter the date on which your published registration form should be opened on the event website in the "Starts" field in the pop-up window. In the "Ends" field, you define the closing date of your registration, i.e. the official registration deadline. Once this date has passed, nobody can register for this event.

You can either enter a manual date here, or you can use the calendar that opens as soon as you click with your cursor in one of the two fields.

Please note:

If your registration is closed, even contacts who have already registered can no longer edit their data in the registration form independently via the event website.

If you remove the date entry from the "Starts" and "Ends" fields, this period line remains in the overview, but the registration is now open for the entire event period.

You can edit the system notifications, which are displayed both before the official opening and after the official closing of registration, individually in the "Forms" menu item. If you hover over "RSVP form on event website" with your cursor, you can jump directly to the menu item via this symbol Bildschirmfoto 2025-06-03 um 08.52.49. To customise the system notifications, please proceed as described in this article.

If you want to adjust your registration period again, you can either move the grey bar in the period using drag & drop, or you can click on the grey bar again and change the date in the corresponding pop-up window. The registration timeframe is automatically updated within the timeframe.

Please note:

If the registration timeframe is outside your generally defined event timeframe, the timeframe is automatically adjusted to the extended times from the registration timeframe.

If you want to delete the registration period again, you can click on the trash can symbol that appears when you move your cursor over the line "RSVP form on event website".

If you have not entered any dates for the opening and closing of your registration here, the registration form will be visible to everyone from the time it is published on the website.

Define time periods for hospitality management

If you have activated hospitality management in your event, the time periods to be edited are automatically displayed in the "Timeframes" tab.

Define the period in which your hosts can book tickets, make adjustments to their contact lists and implement registrations for the participants.

Enter the date in the pop-up window in the "Starts" field on which the "Ticket booking for hosts", the "Changes to the contact list" or the "Registration by host" should be opened. In the ‘"Ends" field, you define the closing of these periods.

  • "Host ticket booking": The period in which a host can book tickets from the ticket contingent you have defined.
  • "Contact list changes": In this area, you define the timeframe in which your hosts are allowed to upload their guest lists or add contacts manually via the "Contact" tab.
  • "Registration by hosts": Define the period in which your hosts can register their participants. After the host has assigned the tickets to their participants, they can directly fill out the registration form and trigger a registration confirmation, if you want. However, in order for this to be sent, it must have been set up by you in advance in the "Messages" menu item with the type "Registration confirmation".

Please note:

If you do not define a timeframe, this is equated with an "open" status. In other words, the host can book tickets, make changes to the contact list or register participants at any time.
