Prevent overwriting registration data

In this article, you will learn how to set up your event to prevent registration data from being overwritten when personal invitations are forwarded.

Set contact fields in the form to "Read only"

If you send personal invitations for your event and do not allow unknown persons to register in addition - meaning your registration is private - you can easily ensure that specific contact data in the registration form cannot be changed by the participant or a person to whom the invitation was forwarded.

To implement this, proceed as described here and set fields such as greeting, first name, last name, and e-mail address to "Read only."

Attention:

If these fields are defined as "Read only," they cannot be edited - even by guests who are invited via a group token, for example. Therefore, this method only works if all participants are invited and no one registers using a group token or the publicly accessible registration form.

Insert a note in the form

Another supplementary way to prevent unwanted registrations and overwriting of data is to insert a "Read only" text field into your registration form, explaining that the invitation is intended only for the originally invited person. For this, you can use the following text, for example:

"This invitation is personal. If you were not invited, please contact [Contact Address] to request an invitation."

This way, you directly address a possible misdirection of the invitation, and interested parties learn who they can contact to express their interest in the event.

Highlight the personal invitation in the e-mail

It is best to avoid misunderstandings right in the invitation. A clearly formulated note, like this one, often works wonders:

"This invitation is exclusively for you and may not be forwarded. If you know someone who would also like to attend, please contact [Contact E-mail]."

This way, you communicate directly that it is a non-transferable invitation - and at the same time, you show a way for an interested person to still receive an invitation.

Invite contacts using group tokens

Despite everything, you may want to allow invited contacts to bring additional people - but under your control.

Use the "Group tokens" for this purpose. These allow for clear and easy assignment, even afterwards. In the "Contacts" area, you can filter by the group you created for the group token, and use this group to identify which participant registered via a group token and is thus an additional participant in your event.

It is best to insert the created group token and the website link directly into your invitation and include the note that they may be forwarded for additional registrations.

Attention:

If you want to allow registration via group tokens, your contact fields must not be marked as "Read only."

Contact information has already been overwritten

Have you already noticed that contact information has been overwritten and now want to find out which contacts are affected?

Click on the "Event Dashboard" in your navigation and open the "Logs" tab. Here, you have the option to set a time frame for your search and filter by the type "Contacts" and the action "Changed."

The logs will then show you the old data on the left (Max Mustermann) and the new data entered on the right (Beate Beispiel).

Please note:

It is not possible to reset this data. However, you can manually adjust the data directly in the contact or contact the participant concerned again.
