With our Scan Agent app, you can easily authorise external and internal scan agents for on-site access control. The creation of the new Scan Agent does not require any user creation in evenito.

Requirements for use
We recommend the following requirements for using the app:
- Apple devices with at least iOS 17 or newer
- Android devices with at least Android 15 or newer
- Mobile network with at least 4G or a stable Wi-Fi connection
Preparation in the back office
In order for the "Scan Agents" tab to be displayed in the "Check in" section, it must first be activated in your Space. Please contact our CS team via help@evenito.com. The "Check in" module also needs to be activated in the ‘Modules’ section of your event.
It is not necessary to create an user in evenito to create a new scan agent. It is therefore not required to create your scan agents as users. After activating the check-in for scan agents, you can start directly with a mobile device.
You activate the check-in for the scan agents in the Check-in module under the Scan Agents tab using the "Enable check-in for Scan Agents" button in the top right-hand corner.
A security prompt will then appear, asking if check-in for Scan Agents should be enabled. Confirm this by clicking "Enable".
Attention!
Once this function has been activated in the event, it can no longer be deactivated.
In the next step, you can use the "Additional details" toggle on the right-hand side to decide which details should be visible for your scan agents in the Scan Agent app.
If you activate this toggle, your scan agent has access to all contact details, including registration status, group assignment, contact information and additional questions.
If you deactivate the additional information, only the contact's basic data (first name, last name, date of birth) will be displayed to the scan agent in the app.
Your scan agents log into the app by scanning the agent QR code. Please generate a new Agent QR code for each of your Scan Agents to log in. By clicking on the "Generate new QR code" button at the top right, a new code which is valid for ten days is made available immediately. If several scan agents log in with the same agent QR code, they will also be logged in with the same agent ID.
Please note:
The activation or deactivation of the additional information is transmitted via the scan agent QR code. Therefore, define these settings before your scan agents scan their QR code.
Preparation of the Scan Agent App
Start with the following steps:
1. Generate a Scan Agent QR code in the "Check in" section under "Scan Agents". Please make sure that you have already completed all the relevant steps from this section of the article before.
2. Connect your mobile device to a stable internet connection to download the app. The app can be used without an internet connection. However, a stable internet connection is required for the final data transfer between the app and evenito Backoffice.
3. Download the app with the name "Scan Agent | evenito" and the icon "" in the store:
- Apple (at least iOS 17 or newer): Direct link to the Apple App Store
- Android (mind. Android 15 oder neuer): Direct link to the Google Play Store
Attention!
If you have already downloaded the app, please check that you have installed the latest version.
4. Open the app and click on "Log in" to continue and confirm the "Camera access" prompt.
5. Your camera is now active and "Agent Pass" is displayed at the top left. Now scan the QR code generated for the scan agent in the evenito back office. This creates a unique / one-time agent ID and establishes the link between the device and the event in the back office.
6. The camera then remains active. The device is now set up and the scan agent can start scanning contact passes.
Please note:
The app is currently only available in the user languages German and English.
When you log in for the first time, the app asks you for permission to access the camera. Click on "Allow" here to be able to scan the participants' contact passes later.
Using the Scan Agent app
Settings
To open the settings of the Scan Agent app, click on the gear icon in the top right-hand corner.
You will first be shown which Agent ID you are logged in with. You can log out again using the "Log out" button.
Please note:
If you log out in the app, you can only log back in if you scan a new Agent Pass in the back office.
You also have the option to activate quick check-in/out here. As soon as this is activated, every contact whose contact pass is scanned with the app is automatically checked in or out. This means that you/your scan agent does not need to confirm the "check-in" or "check-out" manually.
Pause scanning
If necessary, your scan agents can pause the scanning process in the app by clicking on "Pause scanning". This deactivates the camera. By clicking on "Resume scanning", the camera can be reactivated and the scanning process can be continued.
Using the app without an internet connection
The app can be used without an internet connection. If you use the app without an internet connection, you will see the message "You are offline" at the top of your app. However, a stable internet connection is required for the final data transfer between the app and evenito Backoffice.
As soon as you reconnect the app to the internet, a "" at the top right of the cogwheel indicates that there is still unsynchronised data.
Click on "" to open a window at the bottom of the screen. Click on "Force sync" to start transferring the data.
This message also appears before the scan agent logs out in the app if there is data that has not yet been synchronised.
Sending Contact Passes for Check-in with the Scan Agent App
To send a Contact Pass, go to the messages in the "Communication" section. Open the message in which you want to send the Contact Pass. Select the corresponding content area where you want to display the Contact Pass in the message and open the placeholder manager. Now click "Contact Information" and select the "Contact pass QR Code" placeholder at the very bottom.
Please not:
The "Contact Pass QR Code" placeholder is only displayed in the contact information in the placeholder manager if the "Scan Agent" function has already been activated in the "Check In" module in the back office.
If you want to use the QR code in a personalised file, the placeholder is as follows: [[images.passQr]]
A preview of the contact pass cannot be viewed, it is only generated when the message is sent to the participant. A "Sample contact pass" is therefore set at this point in the message preview and in the test e-mails.
Towards a greener world
You can actively inform the participants in the e-mail that the QR code does not have to be printed out. The QR code can be scanned directly from the contact's smartphone.
