Using the Check-in app

With the evenito check-in app, you can carry out the entry check on site. You can see at a glance how many participants are on site and have access to the contact details from evenito.

The app is available for Apple and Android devices. We recommend that you test the app a few weeks before the event.


Requirements for use

We recommend the following requirements for using the app:

  • Apple devices with at least iOS 17 or newer
  • Android devices with at least Android 13 or newer
  • Device (regardless of brand) should have at least 4 GB RAM 
  • Mobile network with at least 4G and at least 2 GB free memory (min. 4 GB total)

First steps

1. Connect the device to a stable WIFI connection.

2. Download the app with the name "Check-in & Guestlist | evenito" and the icon "Check-in app- requirements and preparations1" in the Store:

If you have already installed the app, make sure that it's up to date and that you are using the latest version.

3. Open the app and log in with your evenito login data.

If you have several check-in employees who do not have their own evenito access, you can create a "check-in user" that can be used on several devices. The app automatically adopts the user language from the evenito profile.

Please note:

The app is currently available in German, English, Italian and French.


4. Select organisation and event or change in the settings. The contact list is then synchronized and downloaded.

5. When you open the camera for the first time via the Check-in app- requirements and preparations4 icon, access to the camera must first be granted so that the participants' QR codes can be scanned later.

Attention!

On the day of the event, make sure that the current list of participants is loaded. To do this, you can compare the total number of participants (registered, declined and pending) at the top right of the app with the number of contacts in the back office. 
Update the list by dragging it down with your finger until a loading symbol appears above the list.

Offline use of the app

As soon as the contact list has been downloaded or updated, the app can also be used without an internet connection. In this case, the contacts are synchronized as soon as the device is reconnected to the Internet. However, we recommend using the app with a stable internet connection and using a hotspot if necessary.

Settings Using the check-in app01

Click on the cogwheel at the top right to open the settings. Here you can see which profile you are logged in with and log out.

If you are registered as a user in different evenito spaces, you can switch back and forth between the spaces under “Organisation”. Under “Event” you can switch between the different events in the selected space.

If "Quick check-in/out" is activated, each contact is automatically checked in or out by scanning the QR code. The check-in then does not need to be confirmed first.

You can use the “Force Sync” button to force an update of the data in the app.

Filters Using the check-in app3

You can filter the guest list according to the following properties:

  • Registration status (registered, declined, pending)
  • Groups (all groups previously created in the event and assigned to contacts)
  • Check-in status (checked in, checked out, not yet checked in)

You can combine the filters with each other and, for example, display all participants who are registered but not yet checked in to find out how many participants are still missing. 

Please note:

The filter affects the display of the number of guests in the top right of the app.

  • The first number (here 0) at the top right is the number of checked-in guests. If a filter is set, the number of checked-in guests to whom the set filter applies is displayed.
  • The second number (here 5) shows the total number of all contacts in the event, regardless of whether they are registered or not or checked in or out. 

Sorting Using the check-in app4 

You can use the sorting function to sort the guest list according to the following properties:

  • Last name
  • First name
  • Company
  • Registration date

In the search field at the bottom of the app, you can search for the first name, last name or full name of a contact.

Please note:

If the number of contacts does not match the number in the back office, proceed as follows:

  • Check whether your check-in session has expired. If it has expired, log in again with the same login as before so that your data is not lost. 
  • Check whether the latest version of the app is installed.
  • Check whether filters are set in the app that affect the number of contacts displayed.
  • Click on the "Force Sync" button in the app settings to force a data update.


The following symbols provide further details on the contact:

Registration status: 

  • Using the check-in app8 = Registered
  • Using the check-in app9 = Declined 
  • No symbol = Pending (neither registered or declined)

Check-in status: 

  • Using the check-in app10 = Neither checked in or checked out
  • Using the check-in app11 = Checked in
  • Using the check-in app12 = Checked out

Please note:

Contacts can be checked in or out directly by clicking on the check-in icons in the guest list:
  • Click on the white "Not yet checked in" icon: Contact is checked in
  • Click on the green "Checked in" icon: Contact is checked out
  • Click on the blue "Checked out" icon: Contact is checked in again

  • First & last name
  • Company
  • Groups

    Click on a contact to view all contact information and registration details or to check the guest in or out.

    QR code scanner Using the check-in app14

    If you have previously sent participants a QR code for check-in by email, you can easily scan it with the QR code scanner. Click on the icon at the bottom right Using the check-in app14 to open the camera. As soon as a QR code is scanned, the corresponding contact details are displayed.

     

    You can now check data such as registration status or groups and check the contact in or out using the button at the bottom right. Further contact details are displayed under "Details"

    To scan the next QR code, simply point the camera at it and the new contact will be displayed.

    If you have activated the "Quick check-in/out" function in the settings, scanning the QR code will not display the contact, but also perform the following action directly: 

    • Pending participants are checked in
    • Checked-in participants are checked out
    • Checked-out participants are checked in

    The number of checked-in guests (to whom the currently selected filter settings apply) and the total number of all contacts in the event are displayed at the top right of the app.

    Sending check-in QR code to participants

    You can easily send the personal QR code for check-in using a placeholder in a message.

    To do this, open the message in which you want to send the QR code and click on the appropriate place in the text to call up the “Placeholder manager” via the text editing bar. Under “Contact information” you will find the placeholder “QR code”, which is inserted into the message as [[contact.qr]] by clicking on it.

    How can I send a QR code for check-in?2

    As soon as you open the message preview for a specific contact or send the message, the recipient's personal QR code is inserted instead of the placeholder.

    How can I send a QR code for check-in?3

    The QR code contains the personal token of a contact. You can also find a preview of the QR code in the detailed view of a contact under “Contacts” in “Guest management

    Please note:

    The QR code can be scanned directly from a smartphone and does not need to be printed out. You can actively inform participants about this in the email.
