With the help of badge printing, you have the option of using personalised files for various applications, such as the personalisation of name badges.

Activate badge printing function
Note:
This module is an additional function that is not available in the basic setup of evenito. Please get in touch with your sales contact or the Customer Success Team if you are interested in this function and would like more information on how to activate it.
Create your badge file
Before you can personalize the file, you must first create a corresponding document. To do this, set up a Word document in which you insert text, images, logos, etc. and specify the desired format. You can find more information on creating a document in this article. You can find the required placeholders here.
Use file
As soon as you have prepared your file, you can save it in your event.
To do this, go to the "Content" menu item in the navigation, then select "Personalized files" and click on the ‘+’ symbol on the right-hand side.
In the window that opens, define the name of your file, select "Badge" from the dropdown under Type and add your file via the file manager by clicking on the paper clip on the right. Finally, confirm the upload by clicking the "Add" button.
Please note:
If your event is multilingual, you can use the language switcher in the top right-hand corner to store the files in different languages. As soon as you download or send the file to your contacts, they will automatically receive the file in the language stored in the contact. If you want to use the same badges for all languages, it is sufficient to save the personalised file in one language. This will automatically be pulled into all stored event languages.
Download and dispatch
Download
To download your personalized file, select the desired and required contacts in the "Guest management" menu item by ticking the relevant checkbox.
As soon as you have made your contact selection, click on the download button at the top right and select "Personalized files".
Please note:
Unfortunately, it is not possible to select individual contacts in the list via different pages. Instead, you have the option of using the filter function ("Show filter") and creating your file only for the contacts who are registered, for example.
You can now select your file for export in the dropdown of the window that opens.
Click on "Render" to confirm the export of your badge. The download is prepared with a time delay and the duration depends on the size and number of files and contacts selected. As soon as the download is ready, you will be informed in the notification bell and can download the file.
You also have the option of downloading the personalized file for a single contact only. To do this, open the desired contact by clicking on the pencil icon on the right. Then click on the download button in the details at the top right and select the file to initiate the download.
Dispatch
To send the file to your participants via message, you must first create a message with which you would like to send it.
Add a button in the message for the link to the file and enter the placeholder for the file in the URL.
Alternatively, you can also link the placeholder after a sentence or word, or make it available as a link for copying.
In the placeholder manager in the "Files" section, you will find the corresponding placeholders for the file. There are two different options there.
The first placeholder (here as an example "Badge") refers to the personalized file of the main contact. The second placeholder (+ companions) automatically includes both files, which means that the personalised files for both contacts (main contact + companion) are included.
Once you have completed and tested your message, you can now send it to the desired contacts.
If the placeholder "File name" (+ Companions) is used in a message, the file can only be provided after the regular sending. If you send it as a test message, no file will be provided.
Please note:
If multiple files need to be rendered, a notification will be displayed that the document is being prepared. The page must then be reloaded in order to access the complete document. After reloading, the document is immediately available.
Please also note that the document is only available for 7 days after the message has been sent. If the recipient does not download the file by then, the link will lose its validity and the message must be resent.
Print badge
Would you like to print the majority of your badges before the event starts? Then please proceed as described in the Download section by downloading your personalized badges so that you can then print them collectively.
If you would like to print your badges live at the event venue during the check-in process per contact, you can do this directly in the evenito backoffice via the corresponding event.
Please note:
We recommend that you print large quantities of badges before the start of the event and only use the function from the back office for individual cases or last-minute check-ins on site.
To check in your contacts via the back office and print them a personalized badge, activate the "Check-in" function in the "Modules" menu item. Then click on the "Check-in" menu item in your navigation bar.
To print badges for individual participants, please activate the "Badge printing" button in the top right-hand corner.
Now call up your desired contact by clicking on them in your contact overview on the left-hand side. You also have the option of searching by first name or surname or using the filter function to display only certain groups that you would like to accredit on site, for example.
Please note:
If you use hand scanners that can read the personal token behind the QR code of each contact, the corresponding token will be displayed in the search bar after the scan and the contact will be opened automatically.
Then click on the "Check in" button on the right-hand side and your contact will be checked in.
If you have stored several personalized badge files, all files are always prepared for printing in the first step. You can then manually decide which of the badges you would like to print for this contact in the print preview.
You will then be taken directly to the print preview where you can decide exactly which files you want to print and on which device.
Confirm the process by clicking on "Print".
Your desired badge will now be printed on your pre-selected, connected and tested hardware.
If you need a badge more than once, click on the red ‘Overwrite check-in’ button on the right-hand side and the printing process will be triggered again.
Hardware
Attention!
For successful on-site badge printing, you will need external hardware that meets your exact requirements.
If you need recommendations for an external service provider, please get in touch with your sales contact or the Customer Success Team at any time.
In principle, any hardware that your computer or laptop has access to will work for printing your badges.
Please make sure that your hardware also fulfils the requirements for your desired badge printing, such as printing in a certain format or on a certain paper.
Connect the hardware in the print settings of your computer or laptop so that it can be displayed for selection in the print preview in the evenito back office.
To be able to use the badge printing function, the relevant browsers should be updated to the latest version.
