Please note:
For "Schedule" to appear in the "Event settings" navigation, this module must first be activated in the "Modules" section.
The schedule timeline
In "Event settings" within the "Schedule" section, your schedule is clearly displayed in a timeline.
On the left side, the timeframe is defined, and to its right, your schedule items are listed. The display is chronological. Schedule items are represented according to their defined period. You set this period using the start and end times when creating a schedule item.
Please note:
In order to have a better overview, the timeline on the left-hand side and the individual schedule items are displayed at quarter-hour intervals. The time period of a schedule item can be set as desired. For example, the schedule item can begin at 8:05 a.m. or end at 8:59 a.m. Your defined start and end times will be visible in the menu item "Schedule" and on your website.
In the schedule overview, you can quickly see which schedule item is taking place, its content, what type of event it is, and which participant groups you've defined for each schedule item. If you hover your mouse over the respective groups or event type, the full name will appear.
Please note:
Please note that for a multi-day event, a new schedule will be created for each day.
Creating Schedule Items
Define individual schedule items by specifying the name and description, choosing an event type (e.g., networking, workshop), assigning the groups permitted to participate, and setting the start and end times.
To do this, navigate to "Event settings" and open the "Schedule." You then have two ways to add a schedule item:
- Click the Plus button at the top right to open the editing window for a new schedule item.
- Click on the timeline on the left to select the start time and drag the mouse cursor to the desired end time for the schedule item. The editing window for a new schedule item will then automatically open, with the time already pre-filled.
For each schedule item, you can enter the following information:
- Name (required field)
- Schedule item description
Please note:
The name and description of the schedule item must be adjusted for each language. The red symbol indicates when a field has not yet been filled in another language. Once all translations have been added, the symbol turns green. The language assistant with this symbol
offers assistance. You can find detailed information in this article.
- Event Type
- Groups permitted to participate in this schedule item
Please note:
This applies to evenito connect and the Website. Participants only see the schedule items assigned to their groups, and those not assigned to any group. For this to work, the "Group specific schedule" toggle in the "Schedule" Website widget must be active.
- Start and end date, further specified by entering a time.
Click "Add schedule item" to create the schedule item.
Changing the order of parallel schedule items
During the event, some schedule items, such as workshops, might occur simultaneously. However, you might want to arrange them in a specific order. Here's how to do it:
First, create your schedule items as described in the previous section of this article.
Then, hover your mouse over one of the parallel schedule items and click on it to open it
On the right side of the schedule item, in the "Order" section, you now have the option to rearrange the parallel items on your schedule. To do this, hover your mouse over the schedule items and drag and drop them to the desired position using this symbol .
Please note:
You can only move schedule items that have identical start AND end times.
Confirm your adjustments with "Save & return" and return to the schedule overview. The desired schedule items have been rearranged accordingly.
Please note:
Parallel schedule items are displayed one below another on the Event Website.
Editing or deleting existing schedule items
You can edit or delete a schedule item at any time. To do this, hover your mouse over the desired schedule item in the schedule overview. By clicking on the respective schedule item, you can open it for editing.
If a schedule item needs to be deleted, hover your mouse over the corresponding schedule item. You can delete the respective schedule item using the trash can icon at the top right. Clicking the trash can icon opens a security prompt, which you must confirm by clicking "Delete."
