Click on the gearwheel on the left side next to your user profile to switch to the organisation settings. Select the "Templates" tab and then the desired template tab in which you want to create or edit a template.
Click on the plus sign on the right to add a new template.
If you want to edit an existing template, hover the mouse over it and click on the edit pencil.
To delete the stored templates, hover over them and click on the trash can icon. Please note: once deleted, the template cannot be restored.
Please note:
The creation, editing or deletion of templates is reserved for the admins.
Message template(s)
After clicking on the plus symbol to create a new template, first define the name of the template. This is a required field. You can now choose the type (e.g. Save the date, Invitation, etc.). In the dropdown menu, you can either select an existing template or continue without a template and design it from scratch. By default, you have an evenito email template to choose from, which you can adapt or delete as you like.
You can edit the template by clicking on it. The email editor opens. In this article you will find more information about the email editor.
Attention!
When opening the template (for the first time), it will be initially displayed in english by default. Please use the language switcher to change to your preferred language.
After you have made your changes, save them using the "Save changes" button.
Please note:
Currently, the placeholder manager can only be accessed while editing the emails within your event. You would like to use the placeholders anyway? In the following article you will find the most important placeholders: Placeholders in the messages.
To delete an existing template, hover the mouse pointer over the template you want to delete. The trash can icon appears on the right-hand side. After you have confirmed your deletion in the pop-up window, the template is discarded.
In this way you can store as many templates as you like. Your created templates are shown under "Templates" and "Message template(s)". The templates are now available for all your events and can be adapted as required.
Another option is to create a template from an email that has already been set up within an event. In this article we show you how you can do this. These templates will also be shown in the overview of your templates.
Attention!
Administrators can define which message template(s) should be displayed to which team(s). Event managers will only see those templates, that are assigned to their team(s). For this reason, as an admin, make sure that the assignment is placed correctly.
Open the settings via the cogwheel next to the "Save changes" button. Now you can select the team(s) you want by using the dropdown.
Alternatively, the team(s) can also be selected directly in the dropdown while creating a new template.
The respective assigned teams are afterwards displayed in the overview below the created templates.
Website template(s)
Creating and selecting a website template is very similar to creating and selecting a message template.
Click the plus sign on the right side under Templates > "Website Template(s)" and add a new template. Define the name and choose an existing template as the basis.
Please note:
You have not yet created a template which you can copy? Please do the following:
First open the event in which you have already created the website you want to convert into a template. Click on the menu item "Website" and open the website template that is stored there by hovering over it with the cursor and clicking on the editing pencil.
Now select this icon in the top right corner of the website editor and then give your template a name. The template is now saved in the organisation settings under "Templates > Website Template(s)".
You can edit the template by clicking on it. The website editor opens. In this article you will find more information about the website editor.
Adjust the template as desired and save it again.
Alternatively, you can duplicate the template by hovering over the desired template and clicking on this icon .
If you want to delete an existing template, hover over that template with the cursor. The trash can icon appears on the right-hand side. After you have confirmed your deletion in the pop-up window, the template is discarded.
Attention!
The admin decides which website template(s) are displayed to which team(s). Event managers will only see those templates, that are assigned to their team(s). For this reason, as an admin, make sure that the assignment is set correctly.
Open the settings via the cogwheel next to the "Save changes" button and select the tab "Domain". Now you can select the team(s) that you want to add by using the drop-down menu.
Alternatively, the teams can also be selected directly in the dropdown during the creation of a new template.
The assigned teams are then shown in the overview below the templates that have been created.
Event templates
In addition to copying events, you also have the possibility to convert them into templates. This is useful, for example, if you have events with different complexities or different event types (virtual, physical, hybrid).
If you want to create an event template, please return to the dashboard. Now hover the cursor over the event that you want to convert into a template and click on this icon: .
In the next step, enter a suitable name and select the team(s) from the drop-down list to which this event template should be displayed for use. Click on "Create". The template is now saved in the organisation settings under "Templates > Event template(s)".
This way you can create as many templates as you like.
In order to delete the template, hover the cursor over the template you want to delete and click on the trash can icon.
Attention!
During the creation of a new template, event managers can only select those teams in the dropdown they're also assigned to.
Furthermore, event managers can create new events by using an event copy or an event template. They can only see those templates, that are assigned to their team(s). As an administrator, you should therefore make sure that the assignment is set correctly.
Again the hint:
Event managers and administrators have the possibility to create templates. The editing or deletion of templates is reserved for the admins.
